ACCOMMODATION
Rooms have been pre-booked for participants near the Palacio de Congreso2 and dowtown. Rates indicated below have been especially negotiated for the Forum. They are quoted in Euro (€) and are per night and per room including Spanish VAT. (Please note that VAT rates in Spain changed on 1st July 2010. Please refer to table here below for updated hotel rates).

HOTEL RESERVATION DEADLINE: FRIDAY 23rd JULY 2010 After this date, reservation requests received are subject to room availability and cannot be guaranteed by the Organisers. SEND YOUR RESERVATION REQUEST EARLY to have a wider choice and QUICKLY SECURE YOUR HOTEL ROOM.
To make a reservation
In order to benefit from the mentioned rates, reservation requests have to be submitted and handled exclusively by MCI.
Reservation requests have to be submitted to the Organising Secretariat in one of the two following ways and this by 23rd JULY 2010 AT THE LATEST:
- 1- by secure online registration and payment, via the Forum website
Please note that in order to book online, you have to do it at the same time as your Forum Registration and you need to pay by credit card (VISA, MASTER, EUROCARD, AMERICAN EXPRESS) or bank transfer. - 2. by fax or post: in this case, the hardcopy reservation form here enclosed needs to be completed and sent to the Organising Secretariat accompanied by your payment.

Reservation procedure
- A full stay deposit will be requested to guarantee your reservation. Deposits to MCI will have to be made in Euros only.
- A fixed charge of 20€ (including VAT) per reservation for handling fees will be required for all hotel reservations.
- All nights must be prepaid in advance. The amount corresponding to your entire stay will be charged upon reservation and will be automatically deducted from the total amount of your hotel bill at check out.
- "No Shows” on the first night will automatically cancel the entire reservation and involve the loss of the entire prepayment. Hotels reserve the right to charge you also for the remaining cancelled nights uncovered by the prepayment.
- If you shorten your stay, no refund will be made of the cancelled pre-paid room nights. 4Confirmation Upon receipt of your hotel reservation request, MCI will send you an invoice/confirmation letter summarising accommodation details and specifying payment status.
Cancellation policy
Cancellations must be notified in writing to the Organising Secretariat and are subject to the following conditions:
- Up to 23rd July 2010, 100 € will be withheld for administrative fee.
- From 23rd July 2010, no refunds will be issued.
No deposit refunds will be issued for cancellation or no-show due to failure to obtain a visa.
Individual account
All guests will be responsible for their own accommodation and incidental charges which are to be settled upon departure from the hotel.
